PAIA Manual
Manual in terms of section 51 of the Promotion of Access to Information Act, 2000 (PAIA), read with section 17 of the Protection of Personal Information Act, 2013 (POPIA).
Kartlani (Pty) Ltd (registration number 2026/531252/07), trading as OOP Jobs.
Last updated 1 November 2026.1. Purpose of this manual
PAIA gives you the right to ask a private body for records it holds, where you need them to exercise or protect a right. POPIA gives you the right to find out what personal information a body holds about you and to ask for it to be corrected or deleted. This manual explains how to make either kind of request to Kartlani (Pty) Ltd in respect of OOP Jobs, what records we hold, and what it costs.

Purpose. We process personal information to publish and manage job listings, invoice and refund employers, sign account holders in, send the Monday email to people who asked for it, run the game's leaderboard, and keep the site secure. Full detail is in our Privacy Policy at https://oopjobs.com/privacy.
Categories of data subjects and information
| Data subjects | Personal information |
|---|---|
| Employers and recruiters | Email address, company or agency name, billing name, listing content, payment records, sign-in times and IP addresses |
| Monday email subscribers | Email address, sign-up and confirmation times, delivery status |
| Game players | Chosen leaderboard name, score, level, time saved; email address if verification was requested |
| Site visitors | IP address and browser details in short-term access logs; anonymous usage data if analytics is accepted |
Recipients. Service providers acting on our instructions: a payment processor, an email delivery service, an analytics service (opt-in only), hosting and network providers, and our bank. We don't sell personal information or share it with advertisers. We disclose it where the law requires.
Transborder flows. Some providers store information outside South Africa. Where they do, we rely on section 72(1)(a) of POPIA: the provider is bound by contract to a standard of protection at least equal to POPIA.
Security measures. Encrypted connections, single-use sign-in links in place of passwords, access limited to the people who run the site, and retention periods set out in the Privacy Policy. Breaches affecting personal information are reported to the Regulator and the people affected as section 22 of POPIA requires.
8. How to make a request
8.1 Access to a record under PAIA
- Complete Form 2 (Request for Access to Record) from the PAIA Regulations, 2021. The form is available from the Regulator's website and on request from hello@oopjobs.com.
- Say which record you want, in enough detail for us to find it, and which right you need it to exercise or protect.
- Say how you'd like to receive it (for example, a copy by email).
- If you're asking on someone else's behalf, include proof that you're entitled to.
- Email the form to hello@oopjobs.com.
We'll respond within 30 days. We can extend this by up to a further 30 days where the Act allows, and will tell you if we do. If we refuse, we'll give the reasons and explain how to complain to the Regulator or apply to court.
8.2 Your own personal information under POPIA
You don't need Form 2 to ask what personal information we hold about you, to have it corrected, or to have it deleted. Email hello@oopjobs.com from the address on your account, subscription or leaderboard entry. For corrections and deletions, Form 2 of the POPIA Regulations (Request for Correction or Deletion) is available if you prefer a formal route. We'll respond within 30 days.
Unsubscribing from the Monday email, and changing your analytics choice, are done from the links on the site and need no request.
8.3 Grounds for refusal
We may refuse access to a record where PAIA requires or allows it, including to protect the privacy of another person, commercial information of a third party, or information that is legally privileged. Most refusals would be to protect the personal information of employers, subscribers or players other than the requester.
9. Fees
Fees are those prescribed in Annexure B of the PAIA Regulations, 2021, as amended from time to time. In summary:
- A request fee is payable when a request is made to a private body (currently R100; we are not VAT registered, so no VAT is added). Personal requesters asking for their own personal information pay no request fee.
- Access fees cover the cost of searching for, preparing and copying a record, at the prescribed rates. We'll give you an estimate before doing work that would exceed the prescribed hours, and may ask for a deposit of up to one third of it.
- A request can be refused until the fees are paid.
Asking to see, correct or delete your own personal information under POPIA is free.
10. Remedies
If we refuse a request, don't respond in time, or you're unhappy with how it was handled, you can:
- complain to the Information Regulator, using Form 5 of the PAIA Regulations, 2021, within 180 days of the decision; or
- apply to a court under section 78 of PAIA.
11. Availability of this manual
